Information we collect

When you contact Suitebook, we may collect your name, business name, email address, phone number, website, project details, qualification answers, communication preferences, call recordings, and call transcripts.

How we use information

We use this information to respond to requests, prepare recommendations, route a request to the appropriate Suitebook representative, maintain our customer relationship system, follow up on missed calls or messages, improve service quality, and send requested email, meeting confirmations, or SMS reminders.

Calls, recordings, and automated reception

Suitebook may use an automated receptionist to route calls or collect a message when no team member is available. When a connected call is recorded, we provide an audio notice before connection. We may also create a transcript from information you give the receptionist. Recordings and transcripts are used for service quality, security, recordkeeping, responding to your request, and internal team coaching. Only authenticated team members can access recordings, and representatives can access coaching examples only after a founder selects them.

SMS consent and mobile information

We send text messages only after you provide a phone number and affirmatively opt in. This may include a requested meeting confirmation, meeting link, and reminders near 24 hours and 1 hour before the meeting. Message frequency varies. Message and data rates may apply. Reply STOP to opt out or HELP for help.

Mobile information and SMS consent are not sold, rented, or shared with third parties or affiliates for their marketing or promotional purposes.

Service providers

We use service providers such as hosting, CRM, email, telecommunications, call-recording, and speech-processing platforms to operate Suitebook and deliver communications. They process information only as needed to provide those services.

Retention and security

We retain information for as long as reasonably necessary to respond to your request, provide services, maintain business records, and meet legal obligations. We use reasonable administrative and technical safeguards, but no system is completely secure.

Your choices

You may ask us to correct or delete your information, including a call recording or transcript where applicable, unsubscribe from email, or withdraw SMS consent at any time. Withdrawing consent does not affect other services.
